Clerical Specialist
Alliance Family Health
Center, Inc.
BASIC FUNCTION:
Clerical Specialist is responsible for
efficient operation and flow of patients through the practice.
Greet incoming patients, answer telephones, and schedule
appointments and referrals. Collect and update patient information.
Accurately handle insurance verification and perform front office
procedures. Provides clerical services and performs general office
duties. Works with Front Office Lead and Executive leadership to
coordinate front office functions and provide input for
improvements.
JOB DUTIES AND
COMPETANCIES:
- Answers incoming telephone calls and process appropriately.
Possess warm outgoing personality with excellent telephone
etiquette.
- Verify and collect patient demographic and insurance
information.
- Registers and schedules patients into EHR software. Works with
manager to develop and implement changes to improve scheduling
efficiencies.
- Collects co-pays and patient payments.
- Practice Management Super user for EHR.
- Prepares and sends patient correspondence in accordance with
policy. * Prepares and mails new patient information prior to
scheduled office visit.
- Retrieves and proofs documentation accurateness for billing
purposes.
- Maintain electronic medical record, scan information according
to protocol as appropriate.
- Verify Insurance eligibility/benefits (Eligibility Specialty).
All authorizations must have insurance eligibility verified prior
to their appointment. Parent must be notified if not eligible.
- Meets with and assists patients with respect to the insurance
application process and sliding scale eligibility, including
presumptive eligibility
- Assists in the training and orienting of new clerical
staff
- Promotes positive provider, organization and community
relationships.
- Works under the guidance of the AFHC colleague handbook
- Responsible for checking emails on a daily basis.

MACHINES, TOOLS &
EQUIPMENT USED:
- Utilizes the telephone system correctly.
- Demonstrates correct use of the computer, including appropriate
software programs used by the department.
- Demonstrates correct use of the FAX machine and copier.
- Skilled in computer applications such as MS Word, Excel
EDUCATION, TRAINING &
EXPERIENCE:
Certification or diploma in Medical
Office Administration/Assistant program or equivalent preferred.
Medical front office experience preferred. Knowledge and
experienced in medical terminology, billing and coding is required.
Demonstrated skill in computer applications. High school graduate
or equivalent.
SKILLS REQUIRED:
- Skilled in computer applications like MS Word, Excel, and
PowerPoint.
- Skilled at handling multiple tasks and works under
pressure.
- Extensive knowledge of medical terminology, medical billing and
medical coding
- Knowledge of handling general administrative and clerical
tasks
- 5.The ability to communicate with individuals at a variety of
levels within the organization and community.
- Ability to exercise initiative, judgment, and decision
making.
- Willingness and ability to work collaboratively with a team
approach to goals and objectives.
PHYSICAL
REQUIREMENTS:
- Able to stand/walk to various departments intermittently
through a 8 hour shift.
- Able to bend to reach items on the floor, desk level, and
overhead.
- Able to lift books and supplies weighing 25lbs.
intermittently.
- Able to see clearly (with or without lenses) and hear normal
speaking tones.
- Able to communicate verbally interpersonally and over the
telephone in a clear and concise speech.
- Able to use hands for tasks (writing, typing, etc.).
